This Privacy Policy explains how CallWatch AI collects, uses, discloses, and protects information when you visit CallWatchAI.com, create an account, or use our AI receptionist and customer portal services.

1. Information we collect

We collect information you provide directly, including your name, business name, email address, phone number, website URL, login credentials, billing information handled by our payment provider, and customer-support communications. When you use the Services, we may collect business configuration information, website content you ask us to use, call recordings, transcripts, caller phone numbers, caller names and details collected during calls, usage information, and technical information such as device, browser, IP address, and log data.

When you use our Call Coverage Scorecard, your browser can retain your industry and answers for the current session and remember whether you dismissed or completed the assessment. We record basic assessment events with a random identifier to understand use of the scorecard. If you request setup advice, we store your answers, result, contact details, timeframe, and the text and time of any marketing permissions you choose. We use this information to respond to your request and tailor our advice. Your score is available without submitting contact details, and email-marketing and text-marketing choices are separate and optional.

2. How we use information

We use information to operate and improve the Services; create and configure your AI receptionist; answer calls and deliver leads, recordings, transcripts, and notifications; process billing; authenticate users; provide support; prevent fraud and misuse; protect the Services; and comply with legal obligations. We may use aggregated or de-identified information to analyze and improve the Services.

3. Information handled for customers

When a caller contacts one of our customers through an AI receptionist, CallWatch AI generally processes that caller information on the customer's behalf. The customer is responsible for its own privacy practices, required notices, consent, and responses to caller requests. Callers should contact the business they called first with questions about that interaction.

4. Service providers and disclosures

We may disclose information to service providers that help run the Services, including cloud hosting and database providers, telecommunications and AI providers, email providers, and payment processors. We may also disclose information when required by law, to protect rights and safety, to investigate misuse, or in connection with a business transaction. We do not sell personal information for money, and we do not share personal information for cross-context behavioral advertising.

5. Retention and security

We retain information for as long as reasonably necessary to provide the Services, meet legal and accounting requirements, resolve disputes, and enforce agreements. We use reasonable administrative, technical, and organizational measures designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Your choices and requests

You can update certain account information in the customer portal and cancel marketing communications using the unsubscribe instructions in those communications. Subject to applicable law, you may request access to, correction of, or deletion of personal information we control. We may need to verify identity before responding. If the request concerns information collected for one of our customers, please contact that customer directly.

7. SMS and text messaging

When you provide your mobile phone number and expressly consent to receive text messages, CallWatch AI may send SMS messages related to your inquiry, requested service, appointment, account, customer support interaction, or other communications you have requested. Message frequency varies depending on your interactions with us and the services requested. Message and data rates may apply.

Consent to receive SMS messages is not a condition of purchase. You may opt out of SMS messages at any time by replying STOP. You may reply HELP for assistance or contact us at support@callwatchai.com.

We do not sell, rent, or share mobile phone numbers or SMS opt-in information with third parties or affiliates for their marketing or promotional purposes. Mobile information and SMS consent information will not be shared with third parties or affiliates for marketing or promotional purposes. We may disclose information to service providers that help us deliver messaging services, but only as necessary to provide those services or as otherwise permitted or required by law.

8. Children, international use, and changes

The Services are not directed to children under 18, and we do not knowingly collect personal information from children through the website. The Services are intended for use in the United States. If you use them from another location, you understand that information may be transferred to and processed in the United States. We may update this Policy by posting a revised version here.
